Reimbursements
Reimbursement Reminders
  • Do NOT contact BYU Travel to discuss reimbursements. They do not make any of the decisions in this process.
  • No reimbursements are made for items bought or brought as aids in your teaching, (eg. candy, visual aids, photo copies, large item shipping costs).
  • When requested, reimbursement forms and receipts will be sent to FSY-FacultyReimbursements@byu.edu.
  • Keep all receipts for parking, baggage charges (1 bag for the session adviser and 1 bag for the spouse is allowed) toll fees, or any unexpected expenses (eg. expenses paid on your personal card instead of the FSY card).
  • No reimbursements are given for any meals or food purchased while you are at the session. Because meals are provided at the session, no per diems are given for these meals. This is a BYU policy and we apologize that meals may be at inconvenient times or that you would prefer a different place to eat.
  • No receipts are needed for food purchased while traveling, you will be paid a set per diem if you qualify.
  • If using a rental car, return the car with a full tank. Keep the receipt to get reimbursed for the cost of gas used while at your session.
Travel Per Diem

This is a food per diem based on eligibility.

One Way U.S.
< 50 miles = No per diem

50–239 miles = $43 (Total reimbursement for roundtrip driving)

> 240 miles = $86 (Total reimbursement for roundtrip driving)

If you fly = $86 (Total)

One Way Canada

<80 km = No per diem

80–399 km = Can $57 (Total reimbursement for roundtrip driving)

>400 km = Can $114 (Total reimbursement for roundtrip driving)

If you fly = Can $114 (Total)

2026 Forms

1) When available, fill out the online U.S. Travel Reimbursement Form or Canadian Travel Reimbursement Form.

2) If receipts are not required, your payment will be automatically processed when approved.

3) If receipts are required, you will receive an email asking for the receipts. Immediately reply with images of
your receipts, otherwise, your reimbursement will be delayed.

4) If you have questions, send an email to FSY-FacultyReimbursements@byu.edu.

Remuneration

Following your session, complete the U.S. Travel Reimbursement Form or Canadian Travel Reimbursement Form. If this is not submitted within 30 days following your session, you may no longer be eligible for a reimbursement.

  • Meals—All meals will be provided for you at the session.
  • S&I-assigned vehicles—S&I vehicles should be driven and fuel is paid for as normal using your S&I card.
  • Personal vehicles—Use your personal card for fuel—not your S&I card—you will receive a reimbursement for your mileage at the standard rate.
  • Driving instead of flying—If you choose to drive over flying, the amount reimbursed will be the amount that is least expensive—the average cost of the airline ticket compared to the cost of miles using standard mileage rates: U.S. $.725 per mile or CAN $.73 per km.
  • Rental car gas—Fill the tank before returning the rental car and keep your receipt. You will need it to be reimbursed.
  • Parking—You will receive the cost of the least expensive airport parking—keep your receipts.
  • Baggage—You and your spouse (if attending) will each be reimbursed for one checked bag each way. No baggage costs will be paid for teachers.
  • Room Charges—we do not reimburse for additional room charges, including rented movies or food and beverage expenses.
  • Lesson handouts, props or prizes—we do not reimburse for any materials you wish to use in your lessons including any bulky items that must be checked at the airline counter. We discourage you from passing out flyers, handouts or candy because of the trash that is inevitably left behind.
Reimbursement Distribution

All reimbursements will be distributed within 14–30 days from receipt of a reimbursement form including requested receipts. When your reimbursement has been issued, you will receive an email from J.P. Morgan with instructions on how funds can be directly deposited into your bank account (examples of this process can be found here: J.P. Morgan Quick Start Guide). Please watch for this email including checking the spam folder. Reimbursements will be figured using the travel information you will provide to to FSY. If this is not submitted within 30 days following your session, you may not be eligible for a reimbursement.

Note: All flights, rental cars and hotel rooms are booked by BYU Travel. Do not book your own reservations.

If your assigned session requires that you have a flight or hotel, you will receive your travel plans from the
BYU Travel office via a confirmation email (search for the subject line “Travel Reservation to ______”). If your session is less than two weeks away and you have not been contacted by BYU Travel, you may contact

Travel Points

Many individuals receive travel points by using certain hotels or airlines. If the travel department is using one of your preferred hotels or airlines for which you have travel memberships, you can give those membership numbers to the travel agents at the time of booking. You CANNOT claim points for others in your party that are staying at the hotel and can only receive points for your own personal travel.

Altering Travel Plans

Any changes to existing bookings made through the BYU Travel office must also be done by the BYU Travel office, otherwise it may be considered fraud.

Altering travel plans includes changing airline tickets, hotel arrangements, or rental car agreements. Once the BYU Travel office has made your travel plans, you agree to those plans and no changes on your own to extend the dates of stay before or after the assignments can be made. If you choose to alter your travel plans without going through the BYU Travel office, these are the costs:

  • No rental car reimbursement will be given if the car is not returned as agreed in the rental agreement for your session assignment made by BYU Travel. You will be expected to pay for the entire rental expense.
  • No gas reimbursement will be paid if the approved session airport is not used. Even if booked by BYU Travel, the excess mileage will not be included.
  • No additional nights in a hotel will be provided because of a late or early flight. If flights are not convenient because of early and late arrivals, please work with BYU Travel to make better arrangements at the time of booking. Once the flight is booked, you have agreed to the conditions.
Hotel Rooms

Hotel rooms have been arranged and paid for in advance. Rooms have been reserved under your name, for you and each teacher needing a room. If you arrive at the hotel and the attendant wants you to present a credit card, tell the clerk the card is on file and your personal card should only be used for incidentals. Call FSY Travel Emergency at 801-422-4901 if they cannot find the card on file. At checkout have the hotel email a hotel folio to FSY-FacultyReimbursements@byu.edu

Cautionary Guidelines for Speaking

From our past experiences with both FSY and EFY programs, it has come to our attention that many youths are experiencing or having thoughts of suicide and suicidal ideations. In many of the instances, the participants have referred to stories and thoughts that were shared by teachers or session advisers. With that in mind, we ask you to use extreme caution when relating stories and experiences of suicide and death. If your stories and experiences have not been peer reviewed, they should not be shared. If you do have approved content, please make sure there is a positive message and that you do not go into graphic detail. We understand that stories and experiences of this nature were only shared with a desire to help the youth, so it is with deep concern that we raise this warning and hope that you will be able to find ways to positively uplift the youth as you fulfill your assignment as session advisers.

Supporting Teachers
  • Support your teachers! Help them to feel like they will succeed. Share with them what you hope will happen at FSY that week because of what they will teach.
  • Meet with your teachers Tuesday morning before your morning devotional. Get to know them and ensure their needs are met. You will meet again Tuesday afternoon after classes to debrief the day, address any concerns, and ensure they are receiving all the resources they need.
  • If a teacher has an urgent issue with their technology or classroom, reach out to the session coordinators. Please remember that the session coordinators may be responding to other issues or may be limited in what they can do because of agreements with the campus.
  • Encourage teachers to be flexible and prepared to teach without multimedia equipment if necessary.
Teacher Lesson Evaluation
  • Visit at least one class for each teacher and complete the FSY Teacher Evaluation Form (some larger sessions may have more teachers than you will be able to observe).
  • Please email completed evaluations to FSYTravelinfo@byu.edu in this format:
    SUBJECT LINE: “Session Name 01, Teachers Name” Evaluation. If the teacher is your region director, please submit the form to your area director.
Dress and Appearance
Dress and Appearance

Please remember to follow the S&I dress and grooming standards while teaching all morning devotionals and the Thursday evening devotional. Professional pant suits, dress slacks, skirts, or dresses (at least knee length) are required for women. A suit coat is optional for men depending on the circumstances in which they are teaching. Sunday dress is required on Sunday and Thursday. You can wear the t-shirt provided with SOLID-COLORED business casual pants, jeans, or skirts—black, khaki, navy, or gray for other activities.

FSY Music

2026 youth theme album Walk With Me is now available. We encourage you to listen to these songs before you attend the session so you will know what songs you would like to have performed during your devotionals. You will discuss these music selections with the session coordinators during your Sunday night meeting.
